Booking Information and Cancellation Policy

DAY TOURS AND WORKSHOPS Bookings

• Full payment is required in order to book your place in a day tour and/or workshop

• If the waiver is not signed by the visitor (parent or guardian in case of minors) before the activity, the person will not be able to participate in any activity and will not have the right to refund.

• We have a maximum tolerance of 15min. At the meeting point. If visitors do not arrive by then, the day tour or workshop will be taken as cancelled by them and they will not have the right of a refund or postponing the trip.

LODGING AND ALL INCLUSIVE PACKAGES

• A 50% deposit is required in order to reserve a spot.

• Full balance is to be paid no later than 15 days prior to trip departure

• If the waiver is not signed by the visitor (parent or guardian in case of minors) before the activity, the person will not be able to participate in any activity and will not have the right to refund.

• We have a maximum tolerance of 15min. At the meeting point. If visitors do not arrive by then, their booking will be taken as cancelled by them and they will not have the right of a refund or postponing the trip.

CANCELATION AND REFUND

Day tours and workshops:

• If visitor cancels by written notice 16+ days prior to their day tour or workshop, a 50% refund will be given

• If visitor cancels by written notice 8-15 days prior to their day tour or workshop, a 20% refund will be given

• No refund is given for any reason if guest cancels within 7 days of their day tour or workshop

• Rescheduling: A day tour or workshop can be rescheduled, free of charge, if a visitor requests it by written notice 7 or more days prior to their scheduled activity, only within the same season and upon availability.   

• Cancelation of a day tour or workshop with a 100% refund or rescheduling within the same season is possible if a person is tested positive for COVID-19. They only need to send the test’s result to contact@ranchocacachilas.com prior to the trip. This applies to individual and group bookings, even if only one person of the party has tested positive.

Lodging and overnight trips

• If guest cancels by written notice 60+ days prior to their stay or trip, a full refund is given (minus a non-refundable fee of a 30% of the trip cost due to admin. fees)

• If guest cancels by written notice 45-59 days prior to their stay or trip, a 50% refund is given

• If guest cancels by written notice 31-44 days prior to their stay or trip, a 20% refund is given

• There is no refund given under any circumstance if guest cancels less than 30 days prior to their trip or stay

• Changes on trip or stay date are possible within the same season at no additional cost, upon availability if sending written notice at least 30 days prior to the start date and covering any difference in price if there is any.

• Cancelation on lodging or overnight trips with a 100% refund or rescheduling within the same season is possible if a person is tested positive for COVID-19. They only need to send the test’s result to contact@ranchocacachilas.com prior to the trip. This applies to individual and group bookings, even if only one person of the party has tested positive. 

General 

• As is standard in the industry, we recommend you to hire trip insurance in order to protect yourself from any unplanned situation that may cause you to not participate in your booked activities or stay.

CHANGES IN THE TOUR

• Reasonable changes in trips and tours may be made where deemed advisable for the comfort and well-being of the participants, including cancellation due to extreme weather, insufficient bookings, and/or other factors. A full refund will be given if we are forced to cancel a trip or tour.

SUSPENSION OF SERVICE

At Rancho Cacachilas, we worry for the experience, safety and integrity of our guests and all members of our team, for which we reserve the right of attention to people who carry out any of the following activities:

• Aggressive behavior and/or verbal or physical abuse towards other guests or staff of Rancho Cacachilas

• Use of narcotics or drugs during the trip

• Intoxication during their stay or trip

Tipping

Rancho Cacachilas is a team effort across all out staff - from our trail builders, to the people that work in the gardens, to your guides. As a result, all gratuities are split among all staff working at the ranch. Together, we are happy to host you! Tips are always appreciated, but are entirely at your discretion, based on the level of service you receive.

Tour Registration & Waiver Form

All Rancho Cacachilas guests must complete a Guest Registration Form and a waiver form upon booking your multi-day tour, day tour, or workshop. Every participant in a group must complete her or his own form. Minors must have a parent or guardian sign their form. We will send you the link to these forms in your reservation confirmation invoice, after booking. If you have any questions, please contact us.

Medical Issues

Written notice must be given on the registration form of any physical, mental, or emotional condition that may require professional attention or special equipment during your tour or workshop with Rancho Cacachilas. Trip participants are responsible for all necessary items related to any medical conditions. Failure to disclose any such known conditions may result in cancellation of your trip, and in such event Rancho Cacachilas shall have no liability, financial or otherwise.

Health and Fitness

You should be in good physical health to participate in our Multi-day Tours, Day Tours or Workshops. Please discuss any health and medical questions you may have with your doctor prior to your trip. Rancho Cacachilas reserves the right to decline participation to any trip participant whose condition, in our opinion, may affect the health, safety, or enjoyment of that participant or any other participant. Rancho Cacachilas is not responsible for the cost of any medical treatment a trip participant may require during a trip.
